Company

Agro input companies will have a sales team organized based on their operating area.

For example, X company may have a sales team structured as follows:

  • - FO (Field Officer): Conducts campaigns and manages product outreach.

  • - TM (Territory Manager): Oversees FO’s, manages territories, and reports to different HQs.

  • - RM (Regional Manager): Supervises multiple TMs within a region and leads regional operations.

  • - ZM (Zonal Manager): Oversees RMs and leads the entire zone.

  • - Central Team: All Zonal Managers report to the central team.

This hierarchy helps gather ground data through FO’s and, occasionally, TM’s.

Each company will have different designations, and each designation can be allocated to three roles as follows:

  1. - Field Force: Can only submit activities.

  2. - Manager/Field Force: Can submit activities and review their team.

  3. - Manager: Can review their team's activities and performance.

Field Officers

By logging in, they will be landing on the home page where users will have points widget and sync option on the right side of the header.

Data Syncing

The sync option allows users to sync the data, the system automatically syncs any Un synced data whenever they perform activities in offline mode and reconnect to the internet.

If the sync does not happen, selecting it will sync the data to the server. During the sync process, the arrow indicators will rotate to show that synchronization is in progress.

Stellar Points Leaderboard

By clicking on the points shown on the header, it redirects to leaderboard where team can access the points gained from qualitative and quantitative attributes which includes connection, coverage and discipline metrics as listed below:

  1. Start before 8:59 AM – 5

  2. Submit any activity – Depends on Companies Activity Weightage

  3. Any New Village – 15

  4. Any New Product - 10

  5. Any New Farmer – 15

  6. Meeting New Farmer for the Week (Existing) - 10

  7. Any Farmer – 5

  8. Manager approval rating – Depends on Companies review score %

Masters

Below the header, my market data will be shown which will have 3 widgets

  • Villages – list of villages that have been mapped to the user,

  • Farmers – list of farmers that FO met so far

  • Retailers - list of Retailers that FO met so far

In farmers and retailers' widgets, once they click on each record (either farmer or retailer) they will be see call option for contacting the farmer and create activity for performing the activities.

Connection Request

Also, they can send connection request to the farmers by clicking on connect button, a default message will be sent to the farmers.

When users click the "Connect" option, a default message is sent to the farmer, and the status changes to "Pending."

Default message “Hi <Name>, I'm [FF Name] from [Company/channel]. Connect with me on Farminsta [URL] for personalized recommendations for your crop.”

The default message will be sent in respective language to the farmer based on the location.

Reels

Below Market info, they will be able to see create reel option where they can record reels from their camera or pick from gallery and upload it by filling the form (title, description, reel language, targeted crop)

Once they upload it, manager must approve it to get posted in their company's channel.

Once approved, the reel will get posted and they can check the status of these reels under records tab.

Beside create reel option, they can access the reels that has been posted so far by their company and interact to them – like, comment, share, save, follow and access reel description and channel followers.

Service Requests

Below reels, they will be able to see the service requests where they can accept or reject the request based on the request details.

Request details will include crop name, date of sowing, req. Date and time, crop image and the KMS Away.

Once accepted, the chat forum will get activated and can call or converse with the farmer.

Once the request is addressed, they can close the request by sharing the feedback with recommendation in the comments section.

Closed requests can be accessed under the records section.

Open Activities

Below reels, there will be open activities. Open activities are those which are planned and kept so whenever they executed the activity, they can submit the activity.

These open activities can be created either by manager/ himself on his own.

Create Activity

A toggle button will be there on homepage representing activities – by clicking on it, they need to pick the date and proceeding further, they will see the list of activities that has been configured. Users can select the activity and proceed further.

Three types of activities can be configured. They are:

Campaign

Channel

CRM (Farmer and Retailer)

Workflow for each activity type is documented in customer onboarding Handbook.

Records

The second tab on the footer allows Field Officers to access Records. Which is consisting of three sub-Tabs: Records, Requests, and Reels.

Activities

By default, users land on the Activities (Records) tab, where they can see a date filter. Based on the selected date, a timeline is displayed, which includes the start time, activities submitted and stop time.

For the activities listed below will provide the following basic details:

  • For CRM activities: activity name, state, district, taluk, village, farmer name, farmer number, and an image.

  • For Campaign activities: activity name, village, crop, product, and an image.

  • For Channel activities: Only Activity name.

Manager Review

Each activity also shows a review status, which can be "Appreciated," "Approved," or "Rejected." Rejected activities are highlighted with a grey banner based on the manager approval.

Online/Offline

A flash symbol on the right side indicates the submission mode:

  • Green for online submissions.

  • Grey for offline submissions.

Activity Details

By opening any activity, users can access details such as the activity ID, submitted time, and location (latitude and longitude points) with a redirection option. Clicking on the location icon opens the actual location on the map.

Below the location, users can see the activity details they have submitted.

At the bottom, if the manager has commented on the respective activity, users can view those comments.

Requests

Users can access all lifetime requests they have closed to date in a list view. Each request displays basic details such as the request number, crop age, crop name, request raised time, and location.

Request Details

By clicking on a request, it opens the request timeline or chat page. This page includes the farmer's profile picture, name, and contact details in the top header, followed by the crop name, date of sowing and farm location. Below this, the conversation and feedback exchanged between the farmer and the Field Officer (FO) are displayed.

For these closed requests, users cannot access the chat or the farmer's mobile number.

Reels

Users can view all the reels they have posted to date in a list view with a summary panel. The reels are sorted in descending order by date.

Each reel provides basic details, including the reel title, description (with a "See More" option for longer descriptions and a "See Less" option once expanded), targeted crop, reel language, upload time, and approval status, displayed on the right side.

Reels Summary

The summary panel includes four widgets:

  1. Total: Displays the total number of reels posted. Clicking on it shows all reels.

  2. Approved: Displays the number of approved reels. Clicking on it filters to show only approved reels.

  3. Rejected: Displays the number of rejected reels. Clicking on it filters to show only rejected reels.

  4. Pending: Displays the number of reels pending approval. Clicking on it filters to show only reels pending approval.

The review of the reels is conducted by the user's immediate manager, who can either approve or reject them.

Dashboard

The dashboard consists of various sub-tabs, such as Summary, Campaign, and CRM Dashboards (including Farmer and Retailer CRM - based on activity names like Demonstration and Sale Monitor).

The dashboard values are displayed based on the filters applied (from and to date)

By default, users land on the Summary tab, which contains three widgets:

Summary

Activities: Displays the total number of activities performed along with the activity rate per day, The activity rate is the average number of activities performed per day.

Below the widget an "Activity Dashboard" table that shows the activity names along with actual and target counts.

Attendance: Shows the percentage of days the user is active, along with the number of active days versus the total days

Below the widget an "Attendance Calendar" is displayed, highlighting the days when attendance was marked.

To mark their attendance, users must submit a minimum of one activity, and rejected activities are not counted.

Farmers: Displays the total number of unique farmers the user has met and the farmer rate per day.

Additional metrics are provided in a table below, such as:

New Farmers: Shows the count of new farmers met

Touchpoints: Indicates the number of touchpoints, defined as meeting the same farmer more than once.

Outreach %: Shows the percentage of outreach achieved, calculated as (Actual Unique Farmers Met / Outreach Target) * 100 for the month.

Campaign

Activities

Displays the total number of campaign activities performed and the campaign activity rate per day. The activity rate is the average number of campaign activities performed per day.

A "Campaign Activity Dashboard" table provides details such as username, activity names, score, and achievement percentage.

The activity names are listed as A1, A2, A3, A4, and A5, each showing their actual counts along with the corresponding score and achievement percentage. Descriptions for A1 to A5 are provided below.

Achievement is calculated as (Actual Score / Total Score) 100.

The target score is calculated by multiplying each campaign activity's target by its respective activity weightage, and summing the results gives the total score. The actual score is also calculated in the same manner.

Activity weightage can be updated from the backend. Front end option is not available and its company specific.

Markets

Market Coverage Percentage: Calculated as (Villages Covered / Total Villages Mapped) 100.

Coverage Rate: Calculated as Villages Covered / Villages Mapped.

An “Outreach" table shows the username, achievement percentage, and outreach count.

  • The outreach count represents the number of unique villages covered.

  • Cup (Achievement percentage) is calculated as (Total Villages Covered / Total Mapped Villages) *100

Products

Product Coverage Percentage: Calculated as (Products Covered / Total Products) 100.

Coverage Rate: Calculated as Products Covered / Total Products.

A "Product Coverage" table shows product names, achievement percentage, and activity rate.

Achievement percentage is calculated as (Total Number of Activities Performed with respect to product / Total Activities Performed Across All Products) 100.

The activity rate is the average number of activities performed for each product per user per day.

At the end of these three campaign dashboard widgets, there is a common product graph or leaderboard displaying the total number of activities performed for each product.

CRM Dashboard – Demonstration/Sale Monitor

The CRM Dashboard includes three widgets: Farmers/retailers, Touchpoints, and Villages.

Farmers or Retailers: This widget displays the number of unique farmers or retailers met, along with the rate per team member.

The rate per team member is calculated as the number of farmers or retailers met divided by the total number of members in the team.

Touchpoints: This widget shows the number of farmers/retailers met (Touchpoints) and touchpoints rate per farmer or retailer.

Touchpoints rate is calculated as the total number of farmers or retailers met out of number of unique farmers or retailers met.

Villages: This widget shows the number of unique villages covered, along with the coverage rate of farmers or retailers per village.

The coverage rate of farmers or retailers is calculated as the total number of farmers divided by the total number of villages assigned.

As a common feature, all widgets display farmer details, including the name, mobile number, state, district, taluk, village, a call option, and the last met date.

By clicking on a farmer's name, users can access two options: "View History" and "Create New Activity."

View History: Displays the latest activity details organized by stages.

Create New Activity: Allows users to create and submit a new activity for the farmer.

Watchout 1:

If companies have any hardcoded features for activities, such as key farmers, the information will be tracked from the input field values of activity. It is then displayed under another widget based on the conversion status of the farmers.

Clicking on this widget reveals the number of key farmers. Selecting each farmer record provides options to view their history and create activities.

Watchout 2:

If demo product target setting is enabled for any activity, there will be an additional widget called "Demos." This widget showcases the unique mobile numbers of demo farmers, along with the farmers' rate per product.

You

Profile Details

Users can access their personal details, including their name, number, email, company name, and option to update their profile image.

Peer Leaderboard

Additionally, they can view the peer leaderboard, which displays their rank, achievement percentage, and their current month's achievement percentage and rank compared to their peers.

Saved Reels

Team members can also access their saved reels from the side menu.

Help

If users need assistance, they can click on the Help option to submit a ticket and track their previous tickets.

Manager

If the manager role is defined as 5 and user logs in, the user will have a homepage similar to that of FO’s. If the role is defined as 3 and user logs in, the records tab will be shown as their homepage.

Home (Records)

Where they will see three tabs: Activities, Team Reels, and My Reels.

Activities**:**

The Activities tab will feature two widgets: Active Users and Activities.

  • Active Users: This widget will display the count of total active users out of total users (who are reporting to them).

    • Active users are those who have submitted at least one activity.

    • Total users are those whose status is active.

  • Activities: This widget will show the total count of activities submitted by active users.

The data in these widgets will be displayed based on the date filter applied.

Below these widgets, there will be a list of active users showing their name, profile, HQ, mobile number, and activity count.

Timeline

By clicking on each user record, the timeline of the activities they have performed will be displayed.

Review

Clicking on each activity in the timeline will provide review options: Kudos, Approve, and Reject. Managers can select one of these review options for each activity.

Team Reels

Similar to the Activities tab, the Reels tab will also feature two widgets: Active Users and Reels.

  • Active Users: This widget will display the total number of users who have created reels out of total users who are reporting to them.

  • Reels: This widget will show the total number of reels created by these active users.

Reel Details & Summary

Below the widgets, there will be user information including profile, name, and reel count.

By clicking on a user record, the Reels page will open, displaying a summary with various statuses such as Total, Approved, Rejected, and Pending, along with their respective counts.

Clicking on each status will display the reels relevant to that status.

If any reels need to be reviewed, managers will have the option to approve or reject them.

Note that there is no date filter on this page; however, the reels are sorted by date in descending order.

Dashboard

In addition to the existing filters, there will be one additional filter: the Team filter, which allows users to access data based on the respective team members.

For the manager/field force role, there will be an additional team filter with three options: Me, Reportees, and All.

  • Me: By selecting this option, users can access their own data metrics.

  • Reportees: This option filters to show only the data of reportees.

  • All: This option showcases both the user's data and that of their reportees.

You

Along with the tabs available to field officers in the side menu, managers will have three additional tabs: My Markets, Approvals, and Target Setting.

My Markets

The My Markets tab will feature two sub-tabs: Active and Inactive.

  • Active: Clicking on this sub-tab will display a list of active markets with details including market name, profile picture, mobile number, email address, and team size (if a team exists under them).

  • Inactive: This sub-tab will show a list of inactive markets, similar to the Active sub-tab but for markets that are not currently active.

By clicking on each market record, users can access market information such as achievement percentage and market rank.

Edit Market

Users can edit market details, contact the market via call or chat, and manage team members in the market, including onboarding and deboarding through the Assign and Resign options.

Resignation

If a user needs to be removed from the market, users can proceed with the Resign option, which will prompt them to enter a resignation date. Once submitted, if the approval level is 1, the action will require next level manager approval; if the manager's approval level is 0, the action will be executed immediately.

Note: For Admins, the action will be executed immediately

Assign/Onboarding

The same process applies to the Assign option. If the market is vacant, users need to click on the Assign option to onboard a new user. executed immediately

Create New Market

To extend the area of coverage with the sales team, users can create new markets using the Add New Market option. Clicking on this will require entering the market name, designation, and the role (to whom the market belongs).

Approvals

The Approvals tab will have three sub-tabs: Market, Team, and User.

  • Market: This sub-tab allows users to monitor and manage market-related approvals.

  • Team: This sub-tab handles approvals related to team activities.

  • User: This sub-tab focuses on user-specific approvals.

Clicking on each record in any sub-tab will allow access to pending requests and pending approvals. By reviewing the details, users can approve or reject them.

Pending Requests: These are the requests that have been sent by the users and are awaiting manager approval.

Pending Approvals: These are the requests that require your approval.

Month Planner

The Month Planner allows users to assign targets to their reportees for the respective months. Clicking on this tab will show a plus button. Clicking the plus button will prompt users to select a user and period, then enter and submit targets for each activity.

Assigned targets can be viewed on the Target Setting page. If changes are needed, users can open the record and use update option.

Admin

Admin login looks same as managers like role id 3, but there will be an additional tab which is called as Reels (the second tab)

Channel Profile

Once they open the reels tab, they will be able to see their channel information like channel profile, name, description, their followers and the reels posted in their channel.

whenever they wish to update his channel info like name and profile picture, users can update it by clicking on the profile picture and then clicking on the channel settings from the menu list.

Reel Bank

To access the followers list , they can click on followers button shown under the channel name

Followers

To access the reels, they posted in the channel, they can click on reels button’s shown under the channel name.

Reels

They can create the reels by using their phone’s camera or upload it through mobile’s gallery and then fill the form with the following details:

  • Title - Mandatory

  • Description - Mandatory

  • Reel Language – Mandatory

  • Reel Category - Mandatory

  • Targeted Crop - Mandatory

  • Targeted location - Mandatory

Reel Analytics

Once the reel is successfully uploaded, it will be shown on the homepage of the app with analytics – like, views, shares and comments

By clicking on each reel, users are redirected to the reel details page, where they can play the reel, view analytics, and check the title and description. They also have the option to reply to comments.

Channel Analytics

Overall cumulative reels will be shown on the homepage beside profile section (it includes channel name, profile picture and description) along with followers list and the reels posted till date. Analytics include the following metrics:

  • Views

  • Impressions

  • Likes

  • Comments

  • Shares

  • Watch time

Farmer Leads

Farmers as leads who interact with the reels and they are grouped by unique crops.

The logic behind displaying these crops is that each reel is linked to a specific crop. Whenever farmers interact with reels related to a particular crop, they are categorized and shown under that respective crop.

Crop wise Leads

For example, clicking on crop-wise leads for "rice" will show five sub-tabs showcasing farmers based on their interactions:

  • All

  • Likes

  • Shares

  • Comments

  • Shares

All these sub tabs include unique farmers based on interaction they made with the reel, allowing you to send connection requests to each farmer.

Each crop-wise leads section will have a filter to sort leads based on the connection request status.

Note: Users will be able to view basic details of farmers, including their name, profile picture, languages spoken, location, and crops of interest. If farmers are connected, their past interactions with other companies' channels can be accessed.

Connection Request

Users can send a connection request to each farmer.

When users click the "Connect" option, a default message is sent to the farmer, and the status changes to "Pending."

Default message “Hi Farmer, get connected with (Farminsta link) for timely advisory and exciting offers.”

The default message will be sent in respective language to the farmer based on the location.

Once the farmer accepts the request, the status changes to "Message." By clicking on "Message," users can converse with the farmer, and their mobile number will also be displayed.

Messages

All conversations between users and farmers will be displayed in the messages section. The farmer's name will be shown, and Clicking on each farmer record will open their chat forum.

My Farmers

Connected farmers can be accessed on the homepage under "My Farmers." In "My Farmers," there will be a filter to sort farmers based on crop type.

To access the side menu, users need to click on the reels tab or the channel profile picture to access additional features available to the manager.
